Choose the venue for the people

Before booking a venue, check travel time, shade, toilets, accessibility and a weather backup. A beautiful field is not enough if participants cannot comfortably reach or use it. Ask about mobility requirements and other needs privately so nobody has to explain themselves in front of colleagues.

Balance pace and participation

Mix energetic activities with quieter challenges and genuine breaks. Offer meaningful roles for people who do not want to run or compete physically. Keep instructions clear, avoid elimination games that leave people watching for long periods, and make competition friendly rather than humiliating. The goal is shared participation, not finding the strongest athlete.

Plan the moments between activities

Confirm drinking water, meal timing and dietary requirements ahead of the day. Leave enough time for colleagues to talk without a facilitator directing every minute. End with appreciation and a brief reflection on what the team wants to carry back to work. These small choices often shape the memory of the day as much as the games.
