Understand the purpose and audience
A corporate launch, an awards evening and a family celebration need different tones. Preparation starts with the event's purpose, the audience and the moments that matter most to the organiser. Confirm names, titles, pronunciations and any sensitive topics before the day rather than improvising them in front of guests.
Build a workable running order
A running order should show timings, introductions, transitions and technical cues. The MC needs to know who signals that a speaker is ready, who can approve a programme change and how the sound team will receive instructions. A short rehearsal catches awkward handovers and gives speakers confidence about their entrance and exit.
Prepare for changes without creating drama
Events rarely follow the plan perfectly. Agree what to shorten if a session overruns, what to do if a speaker is delayed and how to handle a technical interruption. Good hosting keeps the audience informed without making them feel the pressure behind the scenes. Preparation gives the MC room to be warm and spontaneous while protecting the event's purpose.
